This document sets out how the Institute of Child Psychology handles personal information and the terms that apply to purchases, memberships, cancellations and training programs.
ICP treats personal information with care and uses it to administer purchases, accounts, memberships, communications, educational programs, certificates, and continuing education records, as described in our Privacy and Data Protection Policy.
Website Technologies: ICP may use cookies and similar technologies to operate its website, understand website use, and measure marketing performance, as described in our Privacy and Data Protection Policy.
Service Providers: ICP may disclose information to service providers where reasonably necessary for registration, course delivery, payments, support, recordkeeping, or other purposes described in our Privacy and Data Protection Policy. ICP does not sell its participant database.
No Commercial Sale: We do not sell information found within our database to any other party.
No Financial Data Storage: We do not collect or keep any credit card information obtained through online purchases.
Continuing Education Records: ICP maintains participation, completion, assessment, certificate, evaluation, and accreditation records as applicable. For programs offering NBCC credit, ICP maintains required program records, including participant rosters and program evaluations, for at least five years from the program date. Other continuing education records are retained for the period required by applicable accreditation bodies, professional standards, contractual obligations, or law. Where a longer retention period applies, ICP retains the applicable records for that period.
Retention: Contact information and business records are retained according to the purposes and obligations described in our Privacy and Data Protection Policy. Marketing unsubscribe requests do not require deletion of records that ICP must retain for accounting, continuing education, accreditation, or legal purposes.
Without consent or another lawful basis for marketing communications, ICP will not send newsletters. Necessary transactional or administrative communications concerning purchases, access, registrations, memberships, or certificates may still be sent.
If you change your mind about receiving our newsletters, you can unsubscribe at any time with a simple click at the bottom of our emails.
We kindly request that you do not mark our newsletters as spam or block our email address as this can result in future communication failures.
ICP uses reasonable administrative, technical, and organizational safeguards to protect personal information. No electronic system can be guaranteed to be completely secure. Questions about information held by ICP may be directed by email to support@instituteofchildpsychology.com.
If you choose to opt in to receive SMS communications from the Institute of Child Psychology, we collect and store your mobile phone number. This information is used to send you marketing and/or transactional text messages related to our products, services, promotions, and account updates.
Message Frequency: Message frequency may vary depending on your interaction with us.
Data Use: Your phone number is used solely for SMS communications. We do not share or sell your phone number to third parties for their own marketing purposes.
Consent: By providing your phone number and opting in, you give express consent to receive text messages from the Institute of Child Psychology, as required by the U.S. Telephone Consumer Protection Act (TCPA) and Canada’s Anti-Spam Legislation (CASL). Consent is not a condition of purchase.
Opt-Out: You may opt out of receiving SMS messages at any time by replying STOP to any message.
Third-Party Services: We may use third-party platforms to facilitate SMS delivery. These services are bound by confidentiality obligations and are only allowed to use your information for providing the SMS service on our behalf.
Data Security: We implement reasonable security measures to protect your information. However, please note that we acknowledge no method of transmission over the internet or via mobile communications is 100% secure.
Unless otherwise expressly stated on the applicable product page, purchases of individual pre-recorded or on-demand courses are final sale and non-refundable. Because purchasers generally receive immediate access to digital course content and educational materials, refunds are not provided once a course is purchased.
Membership subscription terms. ICP may offer monthly, annual, or other recurring membership or subscription programs. Membership charges are billed according to the billing cycle selected at the time of enrollment.
Recurring membership charges are processed according to the monthly, quarterly, annual, or other billing schedule shown at enrollment.
Discounts or other special offers are only valid for the initial purchased term; subscriptions renew at the then-current full subscription rates.
ICP may terminate the subscription if it is unable to renew based on inaccurate or outdated credit card information.
Right of access granted is effective only upon payment of subscription fees.
Subscription upgrade options are not available. Refunds can not be issued for any portion of an existing membership, and previous payments cannot be applied as credit toward a new subscription.
A free trial may only be used once per user (including duplicate emails made by the same user); a second subscription made by the same user will be billed for the full amount immediately without the free trial and does not qualify for a refund.
Unless otherwise expressly stated or required by law, membership and subscription payments are non-refundable once processed.
Members must complete the cancellation process applicable to their purchase platform before the next scheduled billing date. Participants remain responsible for charges processed before cancellation becomes effective. Cancellations or cancellation requests made after renewal are not eligible for a refund unless otherwise expressly stated or required by law.
Subscriptions purchased from our Main Website (instituteofchildpsychology.com):
Subscriptions purchased via Learning Platform community.instituteofchildpsychology.com or App:
Professional subscriptions billed at USD $997 annually or USD $299.22 quarterly must be cancelled by emailing support@instituteofchildpsychology.com before the next scheduled billing date. The billing schedule and price applicable to your membership are those disclosed at enrollment, subject to any changes disclosed to you.
Once processed by administration, access to the platform ends automatically.
Cancellation is irrevocable and cannot be reinstated unless a new membership fee is charged.
If a registrant is unable to attend, an alternate delegate is welcome to attend in their place. Tickets can be transferred to a third party up until 1 week prior to the event date; please advise ICP of the new ticket holder’s name to avoid check-in confusion. If a substitute cannot be found, the Institute will accept cancellations and issue refunds within 24 hours of purchase, subject to any different terms stated on the applicable registration page.
Refunds are issued only in the original payment method.
ICP is unable to issue refunds for registrants unable to participate due to unforeseen emergencies, environmental conditions, and/or acts of nature.
In-person training involves non-refundable venue, travel, catering, presenter, and administrative expenses. Applicable event pages will identify cancellation deadlines, refund eligibility, administrative fees, transfer/substitution options, and non-refundable portions of registration fees.
Where a participant is unable to attend, ICP may permit registration transfers to another eligible participant, subject to applicable accreditation, registration, and program requirements.
Where multiple courses or products are sold together as a bundle, the bundle is considered a single purchase. Bundled digital products are final sale and non-refundable. Individual components of a bundle cannot be returned separately.
Discounts, promotional offers, coupon codes, bundles, and sale pricing remain subject to standard refund rules. Discounts cannot be applied retroactively, promotional offers cannot generally be combined, and expired promotions will not be reinstated.
If ICP cancels a paid live program and does not provide a suitable rescheduled option, registered participants will ordinarily receive a full refund of the registration fee.
ICP is not responsible for indirect costs associated with attending an event, including travel, accommodation, meals, lost income, childcare, transportation, or any other incidental expenses.
ICP may occasionally modify program dates, times, instructors, presenters, format, location, or delivery platform. Reasonable efforts will be made to notify participants. Administrative changes do not automatically create entitlement to a refund.
Purchasing a course or registering for a program does not automatically guarantee continuing education credit or a certificate. Participants must satisfy all completion requirements:
Refunds will not be issued for failure to complete required components.
Participants are responsible for retaining copies of certificates issued to them. This does not replace ICP’s obligation to maintain records required by applicable accreditation requirements.
ICP may provide information regarding continuing education approvals, accreditation, or recognition associated with a particular program. However, individual licensing bodies, professional associations, employers, and regulatory organizations determine whether a specific program is acceptable toward their requirements.
Participants are responsible for confirming applicable requirements with their licensing or regulatory organization when necessary.
A licensing body’s decision not to accept a course does not automatically create entitlement to a refund unless ICP made a materially inaccurate representation regarding that course.
Duplicate Purchases & Billing Errors: If you believe you were charged more than once or a billing error occurred, contact ICP as soon as possible. Confirmed duplicate or erroneous transactions will be corrected or refunded.
Technical Access: Contact ICP for technical support if experiencing access issues. Technical difficulties do not entitle a purchaser to a refund where access can reasonably be restored.
Chargebacks: Participants should contact ICP prior to initiating a dispute or chargeback. Fraudulent or improper chargebacks may result in suspension of access while under investigation.
Taxes and Currency: The currency applicable to a purchase will be displayed at checkout. Applicable taxes are added as required by law. Financial institutions or payment platforms may apply currency-conversion or other transaction fees, which are outside ICP’s control and are the purchaser’s responsibility.
Exceptions: ICP may consider exceptional circumstances on a case-by-case basis. Discretionary exceptions do not modify overall policy or establish obligations for future situations.
The Institute of Child Psychology is committed to providing professional learning opportunities that are accessible to participants with disabilities and to providing reasonable and appropriate accommodations in accordance with applicable accessibility and human rights laws. This includes accommodations related to physical, visual, auditory, and other legally recognized disabilities.
Depending on the course format and available technology, accessibility supports may include:
If you have an accessibility-related question or require an accommodation to participate in one of our professional courses, please contact us at support@instituteofchildpsychology.com.
Accommodation requests will be reviewed individually, and ICP will work with participants to determine what reasonable supports can be provided within the format and technology used for the program.
We encourage participants to contact us prior to registration or as early as possible so that available options can be discussed.
ICP welcomes concerns about its programs, instructors, accessibility supports, certificates, fees, or services and reviews participant complaints fairly and respectfully.
Email support@instituteofchildpsychology.com with the subject “Participant Complaint.” Include your name, contact information, program title and date, a description of the concern, relevant supporting information, and the resolution you are requesting. If you need an accessible way to submit a complaint, email support to arrange assistance. Avoid including unnecessary identifying information about clients or children.
Administration will acknowledge receipt and refer the complaint to an ICP co-founder or a designated program administrator. Where the complaint concerns that reviewer, another reviewer who is not directly involved will be assigned. ICP may request additional information, review relevant records, and consult the presenter or staff involved. ICP will provide a written response explaining its findings and any proposed resolution. If more time is needed, ICP will provide a status update.
Possible resolutions include clarification, correction of records, technical assistance, an accommodation, changes to program administration, or a refund or credit where appropriate under applicable policy or law. A complaint does not automatically create entitlement to a refund. If you disagree with the response, reply to support@instituteofchildpsychology.com explaining why and request further review by an ICP co-founder or another designated reviewer who was not responsible for the initial decision. ICP will communicate the further review outcome in writing.
Complaint information is shared only as reasonably necessary for review, resolution, recordkeeping, or required disclosure. Participants will not be penalized for raising a concern in good faith. ICP documents complaints and their outcomes in accordance with its Privacy and Data Protection Policy. For programs offering NBCC credit, complaint matters relating to NBCC Continuing Education Provider Policy requirements will be reported to NBCC within 60 days of ICP learning of the matter, with related written communications and materials, as required. This process does not restrict a participant’s right to contact a relevant accrediting body, regulator, or other authority.
